Position Overview:

We are seeking a skilled administrative/accounting professional to assist the Director of Business Management with processing and tracking Purchase Requisitions (PRs), Purchase Orders (POs), and Accounts Payable invoices. The ideal candidate must be comfortable using Excel on a daily basis to create Requests for Proposals (RFPs) and will receive and log packages that are received in our NY Warehouse. The ideal candidate should also be able to work independently, be proficient in basic Accounting, and have an analytical mindset to interpret sets of data and achieve a conclusion.

  Position Responsibilities:
  
  • Independently create Request for Proposals (RFP's) and process Purchase Requisitions (PR's) in the Oracle database
  • Manage Purchase Order and Receivals in Oracle and Excel by tracking and communicating with vendors to obtain additional information if orders have been received or delayed
  • Accurately code and submit invoices for approval in Basware software
  • Maintain accurate and complete records and information related to equipment and vehicles
  • Receive and record equipment from the mailroom using Oracle
  • Complete special projects and data analysis, as needed
  • Provide administrative support to team members and management, as needed
    Position Requirements:
    
    • Associate degree in Accounting or a related field, required
      
    • 1 year of Accounting experience required; 2 years preferred
    • Working knowledge of general Accounting concepts required
    • Proficiency in Excel, which includes experience with formulas, IF formulas, charts, VLOOKUPs, and pivot tables
    • Prior experience using Basware, Oracle, or a similar platform, preferred
    • Proficient computer knowledge and strong experience with Microsoft Office Suite
    • Strong oral and written communication skills
    • Ability to work in an environment, when at times, maybe fast-paced
    • Proven organizational skills and the ability to maintain precise and detailed records
    • Proven ability to set and meet deadlines independently
    • Ability to analyze multiple sets of data and achieve an outcome to be presented
    • Strong attention to detail and ability to work independently
