detailed oriented Executive Assistant to the CEO to provide direct
administrative and strategic support to the CEO in managing the key
processes that help drive the organization. The ideal candidate is
comfortable with heavy calendar management and high-volume meeting
arrangement. Over-communication and proactive thinking is an asset
in this role, along with a keen perception of people and
situations. As our Executive Assistant, you'll build strong
relationships quickly, both internal and external to the company.

around the individuals served.What you'll be doing:
- Provide full executive administrative support to the CEO
including heavy phone coverage, detailed calendar management, and
meeting coordination and logistics
- Create and present daily summaries of top level items the CEO
needs to review in a timely fashion
- Assist with all recruiting that the CEO takes part in
- Create daily information sheets to include background
information for each meeting
- Input data into Salesforce and ensure the integrity of the
data
- Maintain spreadsheets in Excel and Google Sheets
- Manage heavy and complex calendars/scheduling, coordinate
meetings and troubleshoot any conflicts
- Coordinate complex domestic travel including flights, hotels
and ground transportation
- Answer incoming calls in a professional/timely manner and
screen and forward calls accordingly
- Manage conference rooms including but not limited to;
conference room scheduling, setup and breakdown of conference rooms
(tech setup, catering etc.)
- Order breakfast/lunch catering for office/meetings
- Collaborate with Office Manager to maintain smooth office
operations at all times
- Provide backup support to the Receptionist/Office Manager
- Assist with firmwide event coordination and planning
- Approach challenges with a positive and solutions-minded
perspective; must be flexible and adaptable in the face of constant
change
- Work on ad hoc projects as needed
- Handle minimal personal requestsHow we define success:
- 6+ years of professional experience in an administrative
capacity
- 3+ years of experience supporting C-level executives in an EA
capacity, or equivalent
- Proactively manage calendars, anticipate and resolve any
scheduling conflicts or overlaps at the drop of a hat
- Handle confidential documents with discretion; facilitate and
manage key documents across multiple workspaces that are crucial to
our daily operations and contracting
- Draft, edit and organize presentations on behalf of Chief
Executive Officer as needed
- Assist with hiring process and onboarding of your executives'
team members
- Manage projects simultaneously, identifying gaps, and taking
ownership of projects; compile and prepare material and agendas for
team meetings
- Plan and coordinate logistics for executives' team events
including: holiday parties, social events, leadership offsites, and
celebrating milestone events.
- Run all travel arrangements for executives as the need arises,
and coordinate related logistics (air travel, rental car,
hotels)
- Conduct research projects across across a variety of topics, as
assigned
