COMPANY: Hedge Fund POSITION: Office Manager/Executive Assistant LOCATION: White Plains, New York HOURS: 8am-6pm (must be flexible) COMPENSATION: Up to $120K on a base DOE + Full Benefits + Discretionary Bonus BACHELOR'S DEGREE REQUIRED: Yes Our client, a well-established and renowned multi-office hedge fund management firm seeks a permanent Executive Assistant/Office Manager for their White Plains, NY office. The ideal candidate should be energetic, meticulous, organized and able to multi-task. Responsibilities: --- - - - - - Manage calendars --- - - - - - Organize travel plans --- - - - - - Help maintain incoming email and schedule appointments --- - - - - - Preparing, submitting, and tracking expense reports --- - - - - - Assist with processing payroll --- - - - - - Organizing monthly travel including airline reservations, hotel bookings, car service arrangements, and car rentals --- - - - - - Support preparing presentations using Microsoft Office and ability to assist with research and analysis --- - - - - - Managing office operations and addressing supply needs: include preparing documents / packages for shipping and coordinating with building services as needed --- - - - - - Technological troubleshooting (with outside IT support when appropriate) --- - - - - - General administrative support (answering phones, scanning, correspondence, etc.) --- - - - - - Providing personal assistant services as necessary (reservations, appointments, etc.) --- - - - - - Ad hoc projects, as necessary Qualifications: --- - - - - - Bachelor's Degree required --- - - - - - A minimum of 3 years of administrative experience, preferably in a corporate environment --- - - - - - Self-starter. This is a small company and you are often the first point of contact for outsiders with the organization. Your ability to answer questions and solve issues before they become problems is important. In addition poise, positive energy, and attitude are all desirable --- - - - - - Strong interpersonal skills, and the ability to work as part of a team are also important qualities --- - - - - - Detail-oriented and good organizational and time-management skills --- - - - - - Ability to perform well in a fast-paced environment and work independently with minimal guidance --- - - - - - Knowledge of and interest in technology (especially new and useful business applications) --- - - - - - Superior skills in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) as well as knowledge of Windows, Mac, and iOS operating systems --- - - - - - Familiarity with QuickBooks --- - - - - - Verification of identity, education, prior employment, and references may be required
