Responsibilities - Under limited supervision, provides high level, advanced support for Senior Vice President and Vice President in Agency Communications and Vice President & Agency Chief of Staff. - Manage all aspects of calendars and daily priorities, ensure material is received for upcoming meetings, develop agendas and material for meetings chaired or coordinated by executives. - Coordinate and schedule meetings, dinners, catering needs, travel reservations and conference calls/video conferences/WebEx. - Answering the phones and assisting the caller or taking messages and routing as appropriate. - Coordinates all travel reservations. - Reconciles travel expenses as well as process all other expenses. - Prepare draft correspondence, agendas, spreadsheets, presentations, letters/memos for review. - Maintain existing files and create new files as needed. - Manage mailings and distribution lists; prepare mail merges. - Provide assistance to Agency Communications, Agency Meetings and Chief of Staff teams as needed. - Reconcile Pcard transactions and process invoices. - Order supplies for the department as needed. - Manage ad-hoc projects. Qualifications - High School/GED - Minimum of 5+ years relevant experience - Proficient in Lotus Notes, MS Office (Word, Excel, PowerPoint) - Possesses a clear understanding of priorities and sense of urgency. - Works independently to establish priorities for self and managers. - Must have the ability to work both independently and collaboratively with other members of the group. - Strong interpersonal skills with high level of professionalism. - Must be able to respond to e-mails and meeting invitations in a timely fashion. - Ability to communicate/interact with all levels of management within Agency organization, as well as other areas of the Company. - Communicate in a clear, coherent, professional manner.
