based in Queens, NY, is seeking an individual to fill the position
of General Clerk - Records and Imaging (Scanning Operations). In
this role you will be working in a positive, collaborative, and
structured office environment. This is a full-time position of 40
hours per week, with occasionally approved overtime and the person
will work as a Collectively Bargained Employee of Office
Professionals. Our office is in Long Island City, NY and does not
offer remote work options . POSITION PURPOSE: The General Clerk -
Records and Imaging (Scanning Operations) will support the Funds’
document digitization initiative and ongoing scanning operations.
This newly created position will coordinate and support the
conversion of historical records maintained offsite into the Funds’
document management system and will continue to manage ongoing
scanning and records retention needs once the project scope is
complete. Under supervision, the General Clerk - Records and
Imaging (Scanning Operations)will be responsible for recalling
records from an offsite storage facility and generating a digital
copy of the records. In accordance with the Funds’ Record Retention
Policy, the General Clerk - Records and Imaging (Scanning
Operations) will determine the status of documents and call for the
destruction of paperwork when applicable. This person will work
alongside the Image Processing Technician and serve as the workflow
point person responsible for tracking timelines, maintaining
scanning standards, and monitoring quality control. This role is
hands-on and will perform scanning, indexing, and archiving tasks,
particularly during the early stages of implementation. The role
will also communicate delays, obstacles, and risks to the
Administrative Team and take direction from the Administrative Team
as needed. This position does not supervise staff and does not
include hiring, discipline, performance evaluations or other
supervisory responsibilities. The role provides operational
oversight, communicates obstacles, risks and delays to the
Administrative Team when guidance or a decision is needed and takes
day-to-day direction from the Administrative Team to ensure the
work remains aligned with the Fund Office’s priorities and
established timelines. ESSENTIAL JOB FUNCTIONS: · Coordinate
scanning operations and track progress against established
timelines · Coordinate and log historical record retrievals from
offsite storage · Prepare records for scanning, including sorting,
batching, and ensuring records are complete, remove paper
clips/staples etc. · Scan, index, and archive records into the
Funds’ document management system using established procedures and
naming conventions · Validate scanned images for quality,
completeness, and correct document order, including detection of
missing pages · Verify indexing accuracy within the Funds’ document
management system and applicable benefit administration systems ·
Maintain document organization standards to support consistent
search and retrieval · Determine retention status of documents and
support destruction of eligible records in accordance with the
Funds’ Record Retention and Destruction Policy · Ensure secure
handling of documents and maintain compliance with established
procedures and workspace controls · Escalate delays, backlogs, and
other workflow obstacles to the Administrative Team when guidance
is needed · Maintain and troubleshoot scanning equipment.
ADDITIONAL JOB FUNCTIONS: · Establish repeatable scanning and
indexing workflows to support efficient on-boarding of additional
project staff · Develop and maintain scanning standards,
checklists, quick reference guides, and process documentation ·
Assist with process flow diagrams and summaries of operations ·
Maintain tracking tools for workload, productivity, backlog status,
and destruction milestones · Support on-boarding and job shadowing
for newly hired imaging staff by reinforcing workflow and quality
standards · Recommend improvements to increase efficiency and
reduce errors in scanning and indexing · Support periodic reporting
on scanning volume, quality control results, and project status ·
This is an in-person position, Monday through Friday 8:00am –
4:30pm. REQUIREMENTS / EDUCATION: Prior experience in high-volume
scanning, document imaging, indexing, records coordination or
quality control required. Strong attention to detail and consistent
accuracy in document handling and data entry. Strong organizational
skills and ability to manage shifting priorities in a
deadline-driven environment Strong written and verbal communication
skills, including the ability to flag issues early and clearly
Ability to work effectively in Microsoft Office, including Outlook,
Word and Excel Minimum High School Diploma or equivalent. PHYSICAL
DEMANDS: Must be able to lift and/or move up to 40 pounds. This
position requires frequent handling of paper files, including older
records stored offsite for extended periods. Records may contain
dust, debris or odors typical of long-term storage environments.

position offers a salary range of between $65,000 - $70,000 per
year based on relevant skills and experience, paid time off and a
