Department: Claims & Administration

Reports To: Manager, Support Services

POSITION OBJECTIVE: This position provides clerical and administrative support to the Vice President, Claims & Administration and Claim Department Professionals. The Office Administrator also supervises the company's support functions.


1. Provide administrative and clerical support to VP, Claims & Administration and Sr. Claims Examiners, including handling phones, calendar, correspondence, memos, minutes, reports, updating, revising and maintaining departmental manuals and employee/agency contact lists and preparation for all meetings. Serve as first point of contact for all inquiries to VP's office, handling as many as possible independently and escalating when needed.

2. Oversee and coordinate department operations.

a. Serve as liaison to other departments.

b. Ensure department staff, and department visitors / temporary staff / auditors, have the supplies, resources, and space required to complete work.

c. Ensure that check requests and closing papers are complete and overseeing employee expense reimbursement forms and training reimbursements.

d. Review and approve office supply orders.

3. Manage support services team.

a. Monitor support team's performance, give on-going performance feedback, and conduct performance appraisals.

b. Follow appropriate processes in the selection of new employees, salary increases, promotions and terminations.

c. Complete biweekly timesheets and overseeing time off requests for the support services team.

4. Performs other duties or special projects as required or assigned.

5. Handles office suite issues:

a. Notifies vendor regarding issues within the office suite (temperature control, lighting, cleaning, parking and access cards).


--- Department staff has the resources and information they need to complete their work efficiently.

--- Department new hires are on-boarded effectively; operations continue effectively when department staff transition out of the organization; HR is notified promptly of important employee life events.

--- VP office operations are run effectively, professionally and efficiently.

--- Finalizes all work assignments within the provided deadline.

--- Documents are accurate and error-free.

--- Screens and directs phone calls to appropriate parties and takes accurate messages.



Bachelor's degree (BA/BS) preferred.

Experience Required

--- Minimum 3 years' experience.

--- Supervisory experience preferred.


--- Strong interpersonal and communication (both verbal and written) skills.

--- Demonstrated ability to exercise political savvy, good judgment, tact and diplomacy with colleagues, clients and other constituents at all levels of an organization.

--- Ability to exercise appropriate discretion in the identification of issues for consideration and resolution by superiors.

--- Ability to maintain confidentiality of highly important and sensitive information.

--- Ability to work with minimal guidance or direct supervision and make independent decisions.

--- Excellent organizational skills, attention to detail and demonstrated ability to consistently deliver accurate work products.

--- Proficient in Microsoft Office as demonstrated by test scores of 75% + in Word, Outlook, PowerPoint and Excel. Able to type 50 words per minute.

Salary is 65K per year.
